- Firearm-Related Information: Details about firearms shipped to us, including serial numbers and Federal Firearms License (FFL) forms, maintained in paper records.
- Build Tracking Data: Initials and the last four digits of your phone number, used on our website’s password-protected section to track your project’s progress.
- Website Usage Data: IP addresses, browser type, and analytics data collected via cookies or similar technologies when you visit our website (if applicable).
- If you join our notification list, we collect your email address through our WordPress notification list form. This information is used to send an email alert when new spots become available for our firearm build, rebuild, or machining services, with spots allocated on a first-come, first-serve basis based on the order you reply to our email.

- Process and manage your firearm build or rebuild project, including refinishing and machining services.
- Process payments for deposits and invoices via QuickBooks.
- Communicate with you about project updates, invoices, or warranty inquiries via Titan Email or phone.
- Coordinate shipping to FFL dealers through USPS, facilitated by Stamps.com.
- Display anonymized build tracking information (initials and last four digits of phone number) on our website’s password-protected section.
- Comply with federal, state, and local laws, including ATF regulations for firearm recordkeeping.
- Improve our website and services through analytics (if applicable).
- Manage our waitlist, including contacting you via Titan Email or phone when a project slot becomes available.
- Manage our notification list, including contacting you via Titan Email when new spots become available, with allocation based on reply order.
4. How We Share Your Information
We share your information only as necessary:
- Service Providers: With QuickBooks for secure payment processing, Titan Email for receiving form submissions, Stamps.com for generating USPS shipping labels to FFL dealers, your local FFL dealer for firearm transfers, and trusted third-party FFL vendors for refinishing and machining services. These vendors are licensed FFLs who comply with ATF regulations, maintain strict confidentiality, and sign agreements to handle data securely. QuickBooks’ privacy practices are governed by their Privacy Policy. Titan Email’s practices are governed by their Privacy Policy. Stamps.com’s practices are governed by their Privacy Policy.
- Legal Compliance: To comply with legal obligations, such as ATF recordkeeping or court orders.
- Business Transfers: In the event of a merger, acquisition, or sale, your information may be transferred to the acquiring entity.
We do not sell or share your personal information for marketing purposes. - Waitlist data submitted through our WordPress form is transmitted via Titan Email for processing. No waitlist information is shared with third parties for marketing purposes, and it is only used internally to manage your waitlist status.

We implement reasonable security measures scaled to our business size and the sensitivity of the data we handle, in line with Ohio Data Protection Act guidelines, including:
- Encryption for payment transactions through QuickBooks, which complies with PCI DSS standards.
- Secure handling of form submissions through Titan Email, stored as paper records after printing.

- Secure storage of physical records in a locked, fireproof safe to meet ATF security standards, accessible only to authorized personnel.
- Limited use of anonymized data (initials and last four digits of phone number) on our password-protected website to track build progress.
- Ensuring third-party FFL vendors follow secure data handling practices compliant with ATF regulations.
- Use of HTTPS and secure form plugins on our WordPress website to protect data submitted through forms.
- Notification List Data Security:
- Form submissions via WordPress are encrypted using HTTPS and transmitted to our Titan Email account, which employs secure email protocols.
- Data is recorded in a password-protected Excel spreadsheet stored on a secure, encrypted device accessible only to authorized personnel.
- We ensure notification list data is protected with measures scaled to our business size, consistent with Ohio Data Protection Act and industry standards.
- In the event of a data breach involving personal information, we will notify affected customers within 45 days, as required by Ohio law (ORC § 1349.19), and work with relevant authorities to address the issue.
Our cybersecurity practices are designed to align with industry standards, such as the NIST Cybersecurity Framework, to protect personal and firearm-related information. While we strive to protect your data, no system is 100% secure. We are not responsible for unauthorized access beyond our reasonable control.
